Terms and Conditions – Track Day Experiences

This page (together with any documents referred to on it) sets out the terms on which Doris Archer Motorsport makes available their race-car track day experience for booking. Please take the time to read these terms and conditions carefully before booking. Our team can be contacted on the above contact details, and will be happy to answer any questions you may have. By booking one of our track day experiences you agree to abide by these terms and conditions. Your booking and participation are subject to the Car Track Day Regulations of the individual site.

If you do not agree to these terms, regulations and conditions, please do not proceed with your booking.

About Doris Archer Motorsport

The www.dorisarchermotorsport.com website “site” is operated by Doris Archer Motorsport Limited “Doris Archer Motorsport”), a company registered in England and Wales under company number 15753479 and our registered office as defined on Companies House.

The cars are owned and prepared by Doris Archer Motorsport, who also provide transport for the vehicles to the venue, and trackside support at each event. Our track day experiences are run during open pit lane days, where other members of the public are on track. These are held alongside a variety of vehicle and driver capabilities, from first time track day drivers, through to experienced racing drivers/teams testing their vehicles.

Defining the Contact Between You & Doris Archer Motorsport

After completing your purchase to book a track experience on the site, you will receive an email from Doris Archer Motorsport acknowledging we have received and confirmed your booking. If you contact us directly, we will email you a copy of your invoice for prompt payment.

Prior to your track day experience you will receive your invoice as detailed below, to either pay in full for individual bookings, or pay your non-refundable deposit for a group booking. If booking for a group, you must ensure each person(s) receive a copy of the terms and conditions as listed here. You also undertake to us that such person(s) will comply with all requirements set out in this agreement. If they do not comply with all requirements set out in this agreement, and circuit specific rules, we, or the circuit shall be entitled to prevent their participation in the event.  

If you do not receive the confirmation email, final joining instruction email, or you are unsure about any matter regarding your booking please email us using the contact details above.

By booking a track day experience with Doris Archer Motorsport, you warrant you are legally capable of entering into binding contracts.  

1. Licences

Drivers require a full UK Licence. Drivers will be required to provide a PDF Licence check code to the organiser prior to the event. If you do not provide your PDF Licence check code prior to the event, you will not be allowed to drive.

You must bring your physical licence with you on the day of the track day experience, as it will be inspected on the day by the circuit/track day organiser. Circuits will not accept a photo. Failure to bring your driving licence with you on the day will prevent you from signing on as a driver, and therefore participating on the day. This is the circuit/track day organisers decision, and this is final – we have no bearing on this decision.

DVLA issued Road licence must be a fully unrestricted (not provisional) valid driving licence, with the appropriate category clearly indicated. NB: where you have a restriction of an automatic licence, you will not be able to join us for this experience, as we only stock race vehicles with a manual gearbox.

Drivers with excessive penalty points will not be allowed to drive.

Passengers do not need to complete a licence check.

Passengers must be 16 years of age or older.

2. Driver Dress Code

Both drivers and passengers will be expected to wear sensible and well fitting shoes which are suitable for driving.

Drivers and passengers must have arms and legs covered with long sleeves and trousers. In some circumstances, circuits may allow shorts, but this is only in extreme weather, and you will be advised of this prior to the event.

Drivers and passengers will need to wear a well-fitting helmet. For track day experiences this can be either open-face, or full-face helmets. Off-road style motorcross helmets are not permitted on any track.

Helmet Hire: We may be able to provide a helmet for you with a washable balaclava, however this is dependent on your size, and should be checked and booked with the Doris Archer Motorsport team in advance. There will be an additional charge for helmet hire of £20 for the day. Some circuits can offer helmet hire, but this may not apply for all, and needs to be checked with the circuit directly ahead of time.

3. Professional ARDS Instructors and Accompanied Drives

We supply qualified ARDS instructors to coach you on full day track experiences and to enable you to fully enjoy the day. On track experience sessions, one of the team will accompany you. It is imperative you follow their instructions, failure to properly engage with their instruction/directions may result in forfeiting the rest of your track experience.

4. The Vehicles

The vehicles used in this experience are race prepared, and kitted out to race specification with 6 point harnesses, bucket seats, fire extinguishers, roll cages, and race tyres. The cars are also fitted with cameras.

5. Dates and Prices

The cost covers fair use for fuel, reasonable wear and tear to tyres and brakes. Persistent spinning or sliding may result in damaged tyres, and this is not covered in your price, and you may be required to pay a fair proportion of their replacement. You will always be encouraged to drive smoothly by your instructor.

Prices are quoted on the expression of booking intent form on the website. These prices may change at any time, but changes will not affect bookings already in receipt of their confirmation email.

Doris Archer Motorsport do not offer or accept vouchers or gift cards in full or part payment for any of our products or services.

6. Filming & Photography

We may be capturing video content and photograph media of the day for use in a variety of media, including, but not limited to, in-print and digital media. If you do not wish to be included in this, you must let the track day experience leader know on the day, so we do not publish this.

The circuit typically offers photography as part of the track day and we are not in control of their decisions to what they photograph and where this is published.

Drivers and passengers are welcome to bring their own filming equipment for private, non-commercial use (e.g. GoPro footage); however, they are solely responsible for ensuring it is securely mounted and recording. A suitable roll cage mount must be provided, and any equipment that cannot be safely secured to the roll cage will not be permitted on circuit. There is no filming from handheld devices.

7. Group Bookings

Deposit: To secure a group booking, a non-refundable deposit of £300 is required to cover the cost of the track day booking via invoice. This will be sent to the group organiser. This can be paid via bank transfer only.

Final Payment: Settlement of the balance is due upon receipt and must be paid at least 4 weeks before the event.

8. Individual Bookings

Full payment: The invoice will be provided to individuals at the time of booking. Settlement is due on receipt of the invoice. For individual track day session bookings, these are paid for at the time of booking on the site.

9. Accompanied Drives

Drivers with a valid full UK Driving Licence will be accompanied by an instructor whilst they are out on track at all times. There are no exceptions to this.

10. Unaccompanied Drives

Drivers with a valid race licence will be allowed to drive the cars solo during the track day. This must be arranged prior to the event. The driver will pay a refundable security deposit held against damage to the car whilst unaccompanied.

11. Cancellation

Cancellation of the booking must be made at least 1 calendar month prior to the event to increase the likelihood the space can be filled by a reserve. In the event we cannot fill the spaces, or move the track booking with the circuit, the organiser may still have to cover this cost from the deposit paid.

Track Day events may be cancelled by Doris Archer Motorsport or the circuit due to events beyond its control, for example adverse weather conditions. This will usually be in the interests of safety. Where a track day is cancelled in its entirety for such reasons, Doris Archer Motorsport will endeavour to notify participants of the cancellation, although we cannot guarantee that participants will be informed of such cancellation before the date of the event. Where possible, we will endevour to offer either (a) a full credit towards a place on an alternative, later track day (subject to availability) up to the face value of the existing booking or (b) if an alternative date cannot be provided, a full refund.

If Doris Archer Motorsport cancel a track day experience for reasons other than events beyond its control, a full credit, transfer or refund will be offered.

To claim any refund, please apply in writing to us at the email address set out at the start of these terms and conditions.

12. Refunds

Refunds cannot be offered for non-attending guests, as track and logistics costs are not refundable.

13. Vehicle Wear and Tear

We expect some wear and tear to the vehicles and factor this into the hire cost.Every effort is made to prepare the cars for the event, but mechanical issues can be unpredictable. In the event there is a mechanical failure, every effort will be made to resolve this at the track and get the car back out.

Due to the nature of this type of event, if there is a mechanical which cannot be resolved we may have to stop the experience. We are unable to offer a refund in this case.

We expect drivers to treat our cars with respect. Your instructor will encourage you to push as your experience and confidence grows, but treating the car with no respect, or abusing it will not be tolerated. Aggressive or abusive driving could result in the driver being excluded from the remainder of the event. We are unable to offer a refund in this case.

14. Weather

We have wet weather tyres for the cars, if required, and will continue in most weather conditions. However, if the weather becomes unsafe to drive in, we reserve the right to pause the experience and can use the time to reflect on your driving and offer group coaching in the paddock.

15. Drink and Drugs

Driving whilst under the influence of alcohol, or drugs, or any medication which may affect your driving is strictly forbidden. Any driver who is unfit to drive on the day, will not be permitted to participate. Refunds cannot be offered in this case, as track and logistics costs are not refundable.

We reserve the right to test any driver for alcohol or drug use if there is reasonable suspicion to believe they may be under the influence.

16. Acknowledgement of Risk

Motorsport is dangerous and can involve injury or death. Despite Doris Archer Motorsport and the venue taking all reasonable precautions, accidents can happen. By attending a track day experience, you acknowledge this and confirm that you are aware of the nature of the activity and attend at the venue at your own risk.

The venue may wish to conduct security searches to ensure the safety of customers and other persons at the event. The venue may refuse access to, and remove from it’s venue any persons who are acting against the interests of safety and/or whose behaviour is likely to cause damage, nuisance, or injury.

17. Other Information

No paddock bikes or animals are permitted at any circuit, except registered guide dogs.

All drivers are expected to attend a safety briefing at the circuit on the day.

No pregnant drivers are permitted to participate as a driver in any track day experience.

Participants must listen to all briefings and safety instructions throughout the track day experience, including flags, signals or warnings from marshals or any other representative of the circuit. The decisions of the circuit are final.
